Terms & Conditions

1. Every fencing participant of Ultimate Fencing Academy must be a registered member of USA Fencing.

2. Safety: All fencers must wear full uniform and safety under-armor as per USA Fencing Guidelines while bouting. No fencing without a mask or pointing a weapon at someone who is not wearing a mask. Blades must always be point down.

3. The Ultimate Fencing Academy t-shirt is part of the required uniform of the club and must be worn. First t-shirt is complimentary for all registered fencers. Replacement shirts cost $15. If a fencer does not come in with the proper uniform, they will be provided one and charged accordingly.

4. Responsibility to pause/terminate: you must inform the management team in writing if you wish to pause, modify or terminate your monthly payments prior to that month’s billing cycle. The yearly membership, once paid after January 1st, is non-refundable and non-transferable, no exceptions. The yearly membership is a final sale.

5. Communication: Written communication to ultimatefencingacademy@gmail.com is the only accepted method for official matters requiring action by our office and administrative staff. Policy communications or changes will also be sent from this email address and will be considered official only if in writing. Information from the Club is considered official only if received in writing from ultimatefencingacademy@gmail.com. Verbal communication or texts to coaches or staff directly will not be recognized as official. If you need to meet with the Coach, please schedule an appointment.

6. Cancellation Policy: A 24-hour cancellation policy applies to all private lessons. There are no exceptions, even for accidents or illness, to protect our coaches and their schedules. Missed classes should be made up in the same month, otherwise they are forfeited. Classes cannot be rolled over.

7. Refund Policy: The yearly membership is final sale and is non-refundable and non-transferable. Monthly memberships, once billed, are final sale and non-refundable and non-transferable to other services.

8. Fees and Billing: Ensure billing information is current. Payments after the 5th of the month are considered late and will incur a late fee of $50. Sessions will be canceled if there is no payment within 24 hours of the upcoming class or lesson. No service without payment. We will notify you of any billing issues before your next visit but fencers cannot participate in classes or lessons until your account is up to date.

9. Billing/Attendance Audit: There is a 45-day limit on attendance and billing audits. Inquiries need to be made by emailing ultimatefencingacademy@gmail.com. Classes should be made up within the same month, otherwise they are forfeited.

10. Late pick-up fees: Minor fencers cannot be left on premises unattended. Any minor fencer remaining on premises for more than 15 minutes after sessions have ended will incur a $25 late fee.

11. Tournament Coaching: Tournaments/events less than 40 miles away are $50 per event. Greater than 40 miles, the event fee is $75 plus transportation and hotel/accommodations. National events are $100 per event for strip coaching plus transportation and hotel/accommodations. Requests for coaching must be made in writing and paid for 7 days before the event. Cancellations must be made 5 days before the start of the event. No shows and same day cancellations are non-refundable and non-transferable.
